WhatsApp Business app vs WhatsApp Business API: what changes
The app and the API serve different stages of a business. What each one does, what changes when you move, and how to know it is time.

In summary
- The WhatsApp Business app is for a person replying by hand; the API is for connecting WhatsApp to other software.
- The API is what makes AI agents, shared team inboxes and CRM integration possible.
- On the API, messages the business starts outside the 24-hour window must use templates approved by Meta.
- Move when message volume, team size or automation outgrow the app.
What is the difference between the WhatsApp Business app and the API?
The WhatsApp Business app is a free app for a person to answer customers by hand, on a phone or linked devices. The WhatsApp Business API is a connection that lets software send and receive WhatsApp messages, so a CRM, a shared team inbox or an AI agent can work with your WhatsApp number. The app is enough while one or two people can keep up; the API is what a business needs once it wants automation, several people on one number, or every conversation recorded in a CRM.
What can the WhatsApp Business app do?
The app adds business tools to the regular WhatsApp experience: a business profile with hours and address, quick replies, labels to organize chats, a catalogue, and automatic greeting and away messages. Someone still reads and answers each message, on the phone or on linked devices. It costs nothing and takes minutes to set up, which makes it the right start for most small businesses.
What is the WhatsApp Business API?
The API is part of Meta's WhatsApp Business Platform. It has no app of its own: you use it through software that connects to it, such as a CRM, a team inbox or an AI agent. Businesses can access it directly through Meta's Cloud API, or through a provider that adds an inbox, support and integrations on top.
App or API: how do they compare?
| WhatsApp Business app | WhatsApp Business API | |
|---|---|---|
| Who answers | A person, by hand | People, automations or an AI agent, through connected software |
| Team use | Limited to linked devices | Many people in a shared inbox |
| Integrations | Little to none | CRM, calendar, automation tools such as n8n, AI models |
| Starting a conversation | Message anyone who has your number | Outside the 24-hour window, only with approved templates |
| Cost | Free | Meta charges for template messages by type and country; providers may add fees |
Meta's pricing and rules change over time. Check the current WhatsApp Business Platform pricing page before planning costs, rather than relying on figures from older articles.
What is the 24-hour window, and why does it matter?
On the API, when a customer messages you, a 24-hour customer service window opens in which you can reply freely, and those replies are not charged as template messages. Outside that window, the business can only start a conversation with a message template approved by Meta, such as an appointment reminder or a follow-up. Planning follow-ups around this rule is part of setting up the API properly.
When is it time to move to the API?
- More messages arrive than one person can answer quickly.
- Several people need to answer from the same number.
- You want every conversation recorded in the CRM automatically.
- You want an AI agent to answer, qualify and book meetings.
- You need reliable reminders and follow-ups at scale.
How do you move from the app to the API?
- Choose whether to connect directly through Meta or through a provider.
- Decide which number to use, and confirm with the provider how it will work after the move. Meta now offers ways for some numbers to keep using the Business app alongside the API, but availability depends on your setup.
- Set up the business profile and display name, and complete Meta business verification if you need higher messaging limits.
- Prepare and submit message templates.
- Connect the CRM and, if you want one, the AI agent, then test with real scenarios before switching traffic.
FAQ
Frequently asked questions
Can I keep my current number on the API?
Often yes, but moving a number involves steps and rules set by Meta. Confirm with your provider how your number will work, and whether you can keep using the app with it, before migrating.
Do I need a provider to use the WhatsApp API?
Not necessarily. Meta offers direct access through its Cloud API. Providers add ready-made inboxes, integrations and support on top of it.
Can I send promotions to my whole customer list?
Only to people who agreed to receive messages, using approved templates, within Meta's policies and the privacy and anti-spam laws that apply to you, such as CASL in Canada.
Is the WhatsApp API only for large companies?
No. Small businesses use it as soon as they want automation, a shared inbox or CRM integration.
Are replies to customers charged on the API?
Replies inside the 24-hour customer service window are not charged as template messages. Templates sent to start or restart a conversation are charged by Meta according to its current pricing.
